Job Description
The Recording Technician(s) are responsible for accepting documents and associated fees, scanning documents into a computer program for permanent retention, indexing recorded documents and providing customer assistance in searching recorded documents. Accepts all documents as is. Ensures all documents are date and time stamped for accurate recording in time order. Reviews e-records frequently to ensure electronically filed records are properly recorded in time stamped order. Enters recorded documents in the established software program ensuring accurate information is entered for the permanent record. Prints copies of recorded document and distributes originals to designated customer. Communicates with the public by telephone, fax, e-mail or in person providing direction in using the services provided by the Clerk and Recorders Office. Answers questions, provides assistance in researching and locating recorded documents, researches and writes correspondence regarding recording, copying and search requests. Handles cash, check and credit card payments for associated fees. Reconciles all receipts at the close of business every day. Creates CD’s containing documents requested by customers and forwards to the requestor. Shares the required special indexing, federal liens/releases, plat records and monument records. Prepares the monthly marriage license information submitted to the state. Assists with the destruction of records as directed by the retention schedule. Scans and indexes plats, surveys and maps. Maintains these records. Assists in the digitizing records by maintaining number of images and reports. Assists in the election department in any manner needed. Needs to attend online training sessions and in person classes and take all necessary tests to obtain state election certification. Assists with liquor licensing. Accepts applicable fees and documents necessary for renewals.
Qualifications:
Education and or Experience:
High school diploma or general education degree (GED); or one (1) to three (3) months related experience and/or training; or equivalent combination of education and experience.
Additional Requirements:
Valid and current Colorado Driver’s License.
As an alternate for the Election Division, an election certification may be required, as well as a successful background investigation.
